Writing an effective RFP will help your local government choose the best vendor for your goals. From defining your vision, brainstorming new features, developing requirements, and exploring vendor qualifications, a great RFP is the foundation of a successful website project.
Define Your Vision
At the beginning of your RFP, include an overview section with a clear summary of your objectives. Does your local government have various stakeholders with a wide range of goals? Take the time to explain the current state of your website, and describe the problems you’re looking to solve.
Must-Haves vs. Wish Lists
In a perfect world, what would your new website look like? As you listen and dialogue with key stakeholders, you’ll want to brainstorm new features, functionality, and design. Examples may include web team workflow, 3rd party integrations, or form builders.
Formatting & Requirements
When designing your RFP, be clear in what information you expect to receive in each proposal. Ideally, all RFP submissions should follow the same structure and format, making it easier for your team to evaluate and score responses.
The Company You Keep
Finding the right “fit” of a potential vendor is important. When designing your government website RFP, ask all bidders to provide the following information:
- Company history, location, and years in business
- Local government experience
- Project management philosophy
- Project team information
- (3) references of established, existing clients
- Pricing information
- Support, hosting and maintenance
- Security and ADA capabilities
